1. Respect & Communication Agreement
By working together, you agree to keep communication positive, respectful, and solution-focused. Negative or disrespectful comments about the artists, their work, or the business—online or elsewhere—will not be accepted.
Flower preservation is a unique artistic process, and each piece is one of a kind. While we do our very best to bring your vision to life, natural variations are part of the beauty of handmade art and are inherently subjective.
Clear and kind communication helps us create the best possible result for you.
If something arises that you’re not thrilled with, please communicate directly with us so we can address it together, keeping the focus on understanding and respect for the creative process.
You acknowledge this agreement by proceeding with your order.
2. Design & Revisions Policy
Before design begins, you will be asked to confirm the following:
- Orientation: Landscape or portrait
- Layout Style: Bouquet layout, meadowscape, or hybrid
- Favorite flowers or elements you would love highlighted
- Any overall vision or inspiration for your piece
Once we begin design, the following policies apply:
Design Proofs
- Your first received design photo is your first design proof.
- We include one complimentary design revision in your order (up to two proofs total).
- Each additional revision is $125 due to the extensive time required and the need to limit handling of your delicate florals.
Fragility Notice
Your flowers are extremely delicate and can be easily damaged during rearranging.
We are gentle and efficient with each movement of your petals, stems, and botanicals.
Our revision policy is designed to:
- Protect the integrity of your preserved blooms
- Maintain the quality of your final artwork
- Respect the time-sensitive nature of the preservation process
- Ensure orders are completed in a timely and professional manner
3. Artistic License
By working with Vancuterie, you acknowledge that floral preservation is both scientific and artistic. Variations in color, shape, size, and appearance are natural outcomes of the preservation process. Final results may vary based on bloom condition, seasonality, and preservation response.
You grant Vancuterie full artistic discretion to make adjustments when necessary to ensure durability, beauty, and structural integrity of the final artwork.
4. Approval & Production
Once the final design is approved (verbally or in writing), the design is considered final.
- No further changes can be made after approval.
- Your piece will move into the gluing, framing, and sealing stages.
- Any requested changes after approval will incur additional charges and may not always be possible due to fragility.
5. Communication Expectations
- All communication regarding design occurs via text message for clarity, record-keeping, and efficiency.
- You agree to respond in a timely manner during the design phase.
- Delayed responses may result in delayed completion.
6. Payment Terms
- Additional revisions ($125 each) must be paid prior to further work.
- Any requested upgrades or additions must be paid before production continues.
7. Social Media & Photography
You grant Vancuterie permission to photograph your flowers and final artwork for portfolio use, website content, and social media unless you request otherwise in writing before the design phase begins.
8. No Refunds
Due to the custom and handcrafted nature of our work, all sales are final once your piece has been completed. You will have multiple opportunities to review and approve the design before it is framed to ensure the final piece looks exactly as you imagined. Once you provide final approval, you are deemed to have accepted the services and finished product unconditionally.
9. Pricing & No Discounts Policy
Vancuterie’s pricing reflects the extraordinary amount of time, specialized skill, materials, and artistry involved in every preservation. Our pricing is firm and non-negotiable.
We do not offer discounts upon request. Please refrain from requesting reduced pricing, price matching, or exceptions to our established rates.
From time to time, Vancuterie may independently offer a promotion, vendor benefit, or studio credit. These offers are provided solely at Vancuterie’s discretion and do not establish eligibility for future discounts, credits, or price adjustments.
We appreciate our clients respecting the value of our work and the pricing established to support it.
10. Color Correction Rates
Color correction is a specialized, time-intensive service and is billed at the rate in effect at the time the service is performed. Color correction rates are subject to change and will increase beginning January 1, 2027.
2026 color correction rates apply only to color correction services completed in 2026 and will not be honored or extended into 2027. Any color correction work performed on or after January 1, 2027 will be billed at the current 2027 rate, regardless of when the original preservation was purchased or when the client first inquired about color correction.
Clients will be advised of applicable color correction charges before additional billable color correction work is performed.
11. Upgrade Policy
If you choose to add any upgrades during the design, full payment must be received before we begin working on your flowers.
Upgrades include, but are not limited to: color correction, larger frame sizes, additional pieces, resin elements, float frames, museum-grade glass, or any customization not included in the base price.
If full payment is not received,your preservation piece will be moved to the back of the queue. You can expect to have another nine month wait once your flowers have been moved out of the production queue.
This policy is strictly enforced and is non-negotiable.
12. Design & Production Order
Preservation pieces are designed and completed in the order in which they are received and scheduled. We do not move projects ahead of other clients or accommodate requests to expedite a design date based on personal circumstances, upcoming events, pregnancy, travel, gifting deadlines, or other individual timelines.
This is a firm studio policy and exceptions cannot be made. By purchasing preservation services, clients acknowledge that their project will remain within its assigned place in Vancuterie’s production schedule and that estimated design or completion timelines cannot be accelerated upon request.
Order Adjustments, Package Changes & Refunds
Vancuterie preservation services are custom commissioned works of art. Each purchase reserves space within our production schedule and begins a personalized preservation process specific to the client’s flowers and selected services.
01. Package Changes and Downgrades
If a client chooses to downgrade a previously purchased preservation package, framing option, glass package, or other service, any eligible price difference will be calculated and processed at the time of design.
The design stage is when final selections, including matting, framing, color correction, upgrades, and other requested services, are confirmed. Any approved additional services or upgrades may be applied to the client’s order balance before the final refund amount is determined.
02.Refund Timing
Eligible refunds resulting from a package change or downgrade are not processed immediately upon request. Refunds are processed at the design stage after the client’s final selections and order adjustments have been confirmed.
Refunds will be returned to the original payment method whenever possible. Processing times after a refund is issued may vary depending on the payment provider or financial institution.
03.Custom Commission Process
Because floral preservation is a custom, time-sensitive service and each purchase reserves production capacity, Vancuterie does not treat package changes in the same manner as returns of standard retail merchandise. Flowers may already be in preservation and labor, materials, scheduling, and other resources may already have been committed to the commission.
